Files access and connected computers #

Shared-folder permissions determine which organisation files a person can use on the web, in the mobile app and on a connected computer.

Set up a shared folder #

  1. As an organisation administrator or Files Manager, open Storage → Files.
  2. Create a top-level shared folder.
  3. Open Folder access and assign the access tags for the team that should use it.
  4. Grant matching file access tags to the relevant users or groups through the organisation's user and group settings.
  5. Ask a team member to open the folder and confirm access.

A user's or group's file access tags must match at least one of the folder's tags. A matching grant provides read and write access. Subfolders inherit the top-level folder's permissions; they do not have separate access rules. Use a separate top-level shared folder when a different team needs access.

Files Managers can manage shared-folder names and access settings. Managing folders does not itself grant access to their contents; Files Managers also need matching tags. Organisation administrators retain their organisation-wide content access.

Moving content between shared folders changes who can access it. Review the destination's tags before moving sensitive material.

Review connected computers #

Open Storage → File Agents to see enrolled Windows and Mac Files instances. The list shows the computer name, owner, platform, installed version, sync state, update status and last contact. Use Refresh for current details and Load more for additional instances.

A computer may be offline because Files has been quit, the user has signed out, or the network is unavailable. Check its last-contact time and ask the owner to open Files before treating an old status as an active failure.

Choose Add computer to download the Files app and follow the desktop setup guide.

Disconnect a computer #

  1. Find the computer and check its owner.
  2. Choose Revoke on the instance you want to disconnect.
  3. Confirm the action.

Revocation stops future access by that Files instance. It cannot retrieve copies already downloaded or exported. For a lost computer, follow your organisation's device-security process as well as revoking Files access.

Revoking one instance does not revoke every computer belonging to the user. Review other instances separately. To change the person's shared-folder access across all platforms, update their user and group file access tags.
