Use Files on the web #

Open Storage → Files in the web console. Select a shared folder to browse its contents. Use the breadcrumbs to move back up the folder tree.

Upload files and folders #

  1. Open the destination folder.
  2. Choose Upload files or Upload folder, or drag files and folders from your computer into the folder view.
  3. Follow progress in the upload queue. Cancel an unwanted upload or retry a failed one there.
  4. Wait for completion before closing the page.

The upload queue shows progress and errors for each item. The page displays the upload limit supplied by your organisation. A local selection or a completed progress bar alone does not mean a file has been saved: wait for the upload to finish successfully and appear in the folder.

Use New folder to organise contents. At the shared-folder level, creating a folder requires folder-management permission. See folder access.

Find and organise content #

Filter by name to narrow the entries already loaded. Use Load more to fetch additional entries; the filter does not search the entire organisation.

Open an item's actions to rename, move or delete it. Moving an item into another shared folder applies the destination folder's access permissions. Check that the intended team can open the destination before moving shared work.

Preview and download #

Select a supported file to preview it. Use Download to save a copy.

File typePreview
PDFRead-only preview, up to 20 MiB
PNG, JPEG, GIF and WebPStill-image preview, up to 20 MiB
Plain text, Markdown, JSON, CSV and logsText preview, up to 1 MiB
Other formats, including Office documents, SVG and HTMLDownload and open in an appropriate application

Previews do not edit the shared file. To change a document, download it, edit it, then replace it, or use the desktop app to work in your usual editor.

Replace a file and view earlier versions #

Choose Replace file from the file's actions and select a file with the same name. A replacement creates a new version. If someone changes the file while you are replacing it, refresh the folder and review the latest version before trying again.

Choose Versions to see earlier versions and download the one you need. To make an earlier version current, download it, review it, then use Replace file.

Restore deleted items #

Open Deleted items, find the file or folder, and choose Restore. The deleted-items view shows the retention period that applies to your organisation. Restore content before that period expires.

Deleting shared content affects everyone with access, including connected computers. Download any copy you need to keep before deleting it.

Check storage usage #

The Files page shows active file usage and your organisation's included storage. Deleted items and earlier versions are retained separately for recovery. If an upload is refused because of a storage limit, review active files and contact your administrator. Existing files remain available to download.
